Staff attendance app for shops and showrooms

Shops have their own attendance problems: long and split hours, rotating week-offs, salary advances in the middle of the month, and an owner who does payroll personally. This page shows what a shop needs from an attendance app and how to run it.

Short answer

A staff attendance app for a shop should let staff check in from their own phone only inside the shop, apply your timings and rotating week-offs, and calculate salary with advances deducted. FundRaksha HR Standard plan (₹49 per employee per month + GST) is built for shops, offices and small teams; Pro (₹79) adds advances in instalments, incentives, shift roster and PF and ESI.

What makes shop attendance different

  • Rotating week-offs. Shops stay open on the weekend, so each person has a different day off. Week-offs must be set per person or per roster, or every Sunday worker shows as absent.
  • Two shifts or long hours. Many shops run an opening and a closing shift.
  • Advances. Staff often take a salary advance mid-month, which must be recovered from salary, sometimes over several months.
  • Incentives. Salesmen earn incentives on sales, which change every month.
  • Several branches. A retailer with two or three outlets needs each one as its own location.

Working hours, weekly holidays and overtime for shop staff are set by your state's Shops and Establishments law, so check the rules that apply in your state when you set shifts.

Set-up checklist for a shop

  1. Add the shop (and each branch) with a radius covering the premises.
  2. Create the shifts, for example 9:30 to 6:30 and 12:30 to 9:30, each with a grace period.
  3. Assign each staff member a shift and a weekly off day.
  4. Upload the holiday list; for most shops this is the few days you close.
  5. Ask staff to install the app on their own phones.
  6. If you give advances, record each one with the number of instalments (Pro).

Worked example: a mobile phone shop with 8 staff

A mobile shop in Lucknow has 8 staff on salaries of ₹12,000 to ₹22,000. The owner previously wrote attendance in a register and worked out salary on a calculator on the 1st.

With the app, each salesman checks in from his phone inside the shop. Two staff have Tuesday off, the others Wednesday, set per person. One salesman took a ₹6,000 advance in March to be recovered over three months; the app deducts ₹2,000 from each of the next three salaries. Incentives for the month are added as a salary input.

On the 1st, the owner opens the salary screen, checks the figures, locks payroll and sends payslip PDFs. On Pro this costs 8 × ₹79 = ₹632 a month + GST; on Standard, without advances and incentives, 8 × ₹49 = ₹392.

Rules worth setting

RuleShop example
Grace period10 minutes after opening time
Late marks3 lates = one half day
Half dayLeaving more than 3 hours early
Leave typesCasual leave credited monthly, carried forward
Unpaid leaveLeave beyond balance becomes unpaid automatically

Make the rules known to staff before the first month. When everyone can see their own attendance and salary forecast on the app, arguments at month end fall away.

How FundRaksha HR helps shops

  • GPS check-in inside the shop radius, one phone per employee.
  • Week-offs and holidays per person or per roster.
  • Employees see a salary forecast and payslips on the app.
  • Advances in instalments, incentives and shift roster on Pro.
  • Mobile admin app, so the owner can approve leave from the counter.

Every plan has a 30-day free trial with your real team, and there is no bill for the trial period. After that, you pay only for active employees in the month. See pricing.

For shop staff paperwork, see the salary slip format and experience letter format. Check pay with the salary calculator.
