Field staff attendance app: sales, service and delivery teams

Field staff are the hardest to track and the easiest to dispute. Salesmen, service technicians and collection agents start their day at a customer, not at the office. This guide covers what a field attendance app should do and where the trade-offs are.

Short answer

A field staff attendance app lets employees who work away from the office check in and out from their own phone, records the time, ties each account to one phone, and handles expenses such as travel bills. FundRaksha HR has a field staff mode alongside office, work-from-home and hybrid, and on Pro adds reimbursements with bill photos and incentives, at ₹79 per employee per month + GST.

What field teams need

  • A start-of-day record. When did the salesman start work, even though he went straight to a customer?
  • Identity. Was it really him? A device lock ensures the account works only on his own phone.
  • Expenses. Fuel, bus fares and customer visits create bills that must be approved and paid.
  • Incentives. Field pay often includes a variable part.
  • A clean link to salary. Field attendance should count as paid days like office attendance.

Check-in versus continuous tracking

There are two approaches to field staff. Check-in attendance records when the day starts and ends. Continuous tracking records the employee's location through the day. Continuous tracking gives more detail but uses battery, raises privacy questions, and needs a clear policy agreed with staff.

ApproachGood forTrade-off
Check-in and check-outMost sales and service teams; proving the working dayDoes not show the route during the day
Continuous locationRoute audits, beat plans, dispatchBattery, privacy, higher price at some vendors

FundRaksha HR's website describes field staff mode and GPS check-in; it does not advertise continuous route tracking. Keka's attendance page lists continuous location punching in its Strength plan, and greytHR's pricing page lists GPS live tracking as an add-on at ₹140 per user per month. If route tracking is essential, compare those.

Worked example: a pharma distributor's medical reps

A distributor in Indore has 12 medical representatives who visit doctors and chemists across the city and 6 office staff. Office staff check in inside the office radius; the 12 reps are set to field mode and check in from their own phones when they start their first call.

Each rep claims fuel and parking by photographing bills in the app; the sales manager approves them and they flow into the month's salary as reimbursements. Incentives for the month are added as a salary input. At month end, attendance, approved reimbursements and incentives all appear on the payslip.

On Pro, 18 × ₹79 = ₹1,422 a month + GST.

Policy checklist for field attendance

  1. Define when the day starts: first customer visit, or a fixed time.
  2. Decide which roles are field, hybrid or office.
  3. Set a reimbursement policy: what can be claimed, limits, and the need for a bill photo.
  4. Agree how incentives are calculated and when they are paid.
  5. Tell staff exactly what the app records, and get their consent in writing, for example in the appointment letter.
