A GPS attendance app records a check-in only when the employee's phone is inside a radius you set around the workplace. To be reliable it must also lock each account to the employee's own phone, handle several offices with their own radius, and treat field staff separately. FundRaksha HR does this, and turns the attendance into salary automatically, from ₹49 per employee per month + GST.
How GPS attendance works
- You set the location of each office and a radius around it, for example the building and its car park.
- The employee opens the app on their own phone and taps check in.
- The app reads the phone's location. If it is inside the radius, the check-in is recorded with the time. If not, it is refused.
- At the end of the day the employee checks out the same way. Forgotten check-outs are closed at night and flagged.
- Your rules (shift time, grace period, late marks, half days) are applied to each record.
Choosing the right radius
The radius should cover where staff legitimately are when they arrive, and nothing more. Phone GPS is usually less precise indoors, so a radius that is too tight causes false refusals and complaints.
| Workplace | Practical approach |
|---|---|
| Single shop or small office | Building plus frontage; test on the first day from inside the premises |
| Factory or campus | Cover the gate and main buildings, since staff arrive at different entrances |
| Several branches | Set each branch as its own office with its own radius |
| Construction or client sites | Add each site as a location, or use field mode for staff who move between sites |
Test the radius with two or three employees on day one, then adjust. It is easier to tighten later than to deal with a week of refused check-ins.
What GPS alone does not solve
Location tells you where a phone is, not whose hand it is in. If one employee knows another's password, they can log in on their own phone at the office and check in for an absent colleague. That is why device lock matters: in FundRaksha HR each account is locked to the employee's own phone, so nobody marks attendance for a friend.
GPS also does not decide what a late arrival means. That needs rules: grace period, late marks, half days, week-offs and holidays, which FundRaksha HR applies per person or per roster.
Worked example: a clinic chain with three branches
A dental clinic chain in Bengaluru has three branches and 22 staff. Two hygienists rotate between branches. The owner sets each branch as an office with its own radius, assigns staff to their branch, and sets the two rotating hygienists to field mode so they can check in wherever they are working that day.
The attendance calendar now shows who was present at which branch and when. Late marks follow the grace period of each shift. At month end, salary for all 22 is calculated from paid days, and the owner reviews and locks it before releasing payslips.
The cost on Standard is 22 × ₹49 = ₹1,078 a month + GST. If the chain registers for ESI and PF, Pro at ₹79 adds statutory payroll and the PF ECR and ESI files.
