Retail HR software should set each store as its own location with its own GPS radius, handle rotating week-offs and shifts, add sales incentives and recover advances, and run payroll for all stores at once. FundRaksha HR does this: every office has its own radius, week-offs are set per person or roster, and Pro (₹79 per employee per month + GST) adds incentives, advances, shift roster and statutory payroll.
Retail HR problems, store by store
- Opening and closing shifts with a mid-day overlap.
- Weekend trading, so week-offs fall on weekdays and rotate.
- Staff moving between stores to cover leave or sales events.
- Incentives on sales targets every month.
- High turnover, with joiners and leavers every month.
- Owner far from the store, relying on the store manager's word for attendance.
Checklist for a store chain
| Need | What to set up |
|---|---|
| Multiple outlets | Each store as an office with its own radius |
| Floating staff | Field mode for staff who cover several stores |
| Shifts | Opening and closing shifts with grace periods (shift roster on Pro) |
| Week-offs | Per person or per roster |
| Incentives | Monthly salary input (Pro) |
| Approvals | Store manager, then admin |
| Billing | Only active employees are billed; joiners and leavers count once in the month |
Worked example: a footwear chain with 5 stores
A footwear retailer in Kolkata has 5 stores and 38 staff, including 4 floaters. Each store is set as an office with its radius around the shop; the 4 floaters, who cover leave at different stores, are set to field mode. Store managers approve leave from the app.
In festive month, each salesperson earns an incentive based on sales; the owner adds the amounts as salary inputs. Three staff join and two leave mid-month; the pricing page says anyone employed during the month counts once, so the bill follows actual headcount. Payroll for all 5 stores runs together, and store managers see their team's attendance on the app.
On Pro, roughly 38 × ₹79 = ₹3,002 a month + GST, adjusted for joiners and leavers.
Compliance points for retail
Shops and commercial establishments are governed by each state's Shops and Establishments law, which sets working hours, weekly holidays, overtime and leave. Professional tax depends on the state of each store. If your stores are in more than one state, make sure payroll applies the right state's PT to each employee. ESI covers employees earning up to ₹21,000 a month in covered establishments, which includes many retail staff; check with the ESI calculator.
Reducing month-end disputes in retail
Retail staff are often paid close to the line, so every unpaid day and every late mark is noticed. Three habits prevent most disputes:
- Publish the rules (opening time, grace period, late marks, half days) in the store and in the app.
- Let staff see their own attendance and the live salary forecast during the month, not only on payday.
- Approve leave and corrections in the app, so there is a record of who agreed what and when.
When the owner, the store manager and the salesperson look at the same record, the conversation on payday is about the numbers, not about whose memory is right.
