Restaurant HR software should record attendance on staff phones inside the outlet, handle late and split shifts and weekday week-offs, recover advances in instalments, and give each person a clear payslip. FundRaksha HR does this: GPS check-in per outlet, shifts and week-offs per person or roster, and on Pro (₹79 per employee per month + GST) shift roster, advances and statutory payroll.
Why restaurant attendance is hard
- Late closing. A shift from 4 pm to midnight, and staff too tired to check out.
- Split shifts. Lunch service and dinner service with a break in between.
- Weekend peaks. Nobody is off on Saturday or Sunday, so week-offs rotate on weekdays.
- Advances. Cooks and stewards often ask for money before salary day.
- Turnover. New joiners every month, each needing set-up quickly.
Rules to set for a restaurant
| Rule | Example |
|---|---|
| Kitchen shift | 10:00 to 4:00 and 6:30 to 11:30, or a single long shift |
| Service shift | 12:00 to 11:30 with a break |
| Grace period | 10 minutes |
| Late marks | 3 lates = one half day |
| Week-off | One weekday per person, rotating by roster |
| Auto check-out | Forgotten check-outs closed at night and flagged |
FundRaksha HR applies shift timings, grace, late marks, half days, week-offs and holidays per person or per roster. Confirm during the trial how a split shift is best set up for your outlet.
Worked example: a cloud kitchen and two outlets
A restaurant group in Hyderabad runs a cloud kitchen and two dine-in outlets with 34 staff. Each site is an office with its own radius. Kitchen staff check in at the cloud kitchen; stewards at their outlet; the two operations managers, who move between all three, use field mode.
A tandoor cook takes a ₹9,000 advance before a family function, to be recovered in three instalments; the deduction appears automatically on the next three payslips. Late-night closers often forget to check out; those records are closed at night and flagged, and the outlet manager confirms them the next morning. At month end, payroll runs for all three sites, PF and ESI are calculated for covered staff, and payslips go to every phone.
On Pro, 34 × ₹79 = ₹2,686 a month + GST.
Compliance for restaurants
Restaurants and eateries generally fall under the state Shops and Establishments law, which governs working hours, rest intervals, weekly holidays and overtime, and in many states the hours of work for women at night. ESI covers employees within the ₹21,000 wage limit in covered establishments; most kitchen and service staff fall inside it. PF applies to establishments above the EPF threshold. Professional tax depends on the state. Check each employee with the ESI calculator and PF calculator.
