FundRaksha Book

Billing software for a wholesaler or distributor

A wholesaler or distributor bills fewer, larger invoices than a shop, mostly to GST-registered retailers on credit. The buyers claim input tax credit on your invoice, so accuracy and credit control matter more than counter speed.

Short answer

A distributor needs billing software that issues B2B tax invoices with the buyer's GSTIN, HSN and IGST for other states, keeps retailer credit ledgers with ageing, and fits the compliance you are subject to: e-way bills for consignments above ₹50,000 and e-invoicing once turnover has crossed ₹5 crore. FundRaksha Book does the invoice and credit parts; it does not create e-way bills or e-invoices.

What a distributor's billing must do

  • Buyer GSTIN on every invoice. The retailer's input credit depends on it, and on the invoice appearing in its GSTR-2B.
  • Correct place of supply. IGST for a registered buyer in another state; CGST plus SGST within the state.
  • Credit control. A ledger per retailer, part-payments, and a list of who owes the most.
  • Purchase side. Supplier bills with batches, and a ledger of what you owe each company or super-stockist.
  • Documents beyond the invoice. Wholesalers often need a delivery challan, quotation and credit notes for returns and schemes.
  • E-way bills and e-invoices when the thresholds apply.

How FundRaksha Book handles it

Choose the retailer on the sale screen and Book fills in its GSTIN; if the GSTIN is from another state, the invoice is IGST, otherwise CGST and SGST, with an HSN-wise summary at the foot. Credit sales go to the retailer's ledger; you record part-payments as they come, and the "money to collect" report lists every outstanding balance. Purchases from your principals work the same way in reverse.

Book also gives you a profit report (sales minus cost of goods minus expenses), day-wise sales and purchases and a stock summary valued at cost.

Be clear about the gaps for a distributor: Book has no e-way bill or e-invoice generation, no delivery challans, quotations, credit or debit notes, and no party-wise price lists. IGST is decided from the buyer's GSTIN, so for an unregistered buyer in another state check the place of supply yourself. A distributor above ₹5 crore turnover, or one that ships consignments above ₹50,000 daily, will be better served by software with those built in. Vyapar, myBillBook, TallyPrime and BUSY each list e-way bills and e-invoicing on their own sites.

FundRaksha Book is free for the first 300 invoices, with every feature switched on and no card needed. Sales and purchase invoices both count. After that, Pro is ₹999 a year for unlimited invoices, paid by UPI, card or net banking; the site says prices include applicable taxes as charged at checkout. See book.fundraksha.com.

What to check when choosing

  • Your turnover: above ₹5 crore in any year since 2017-18 means e-invoicing (e-invoice limit checker).
  • How often you move consignments above ₹50,000: if daily, built-in e-way bills save real time.
  • Whether you need party-wise price lists, schemes and credit notes.
  • How credit is tracked: per retailer ledger, part-payments, and an outstanding list you can export.
  • Whether your field staff need their own logins with limited access.

Book fits a distributor below ₹5 crore that moves few large consignments and wants simple invoices and credit control.

Worked example: an inter-state order

An FMCG distributor in Indore (Madhya Pradesh, 23) supplies a retailer in Jhansi (Uttar Pradesh, GSTIN starting 09):

ItemHSNTaxableIGST
Detergent powder, 40 cartons3402₹48,00018%: ₹8,640
Toothpaste, 10 cartons3306₹12,0005%: ₹600

Taxable value ₹60,000, IGST ₹9,240, invoice ₹69,240. Because the consignment exceeds ₹50,000 and crosses a state border, an e-way bill is needed before the truck leaves: generate it on the e-way bill portal from Book's invoice details. The retailer has 30 days' credit; the ₹69,240 sits on its ledger until paid.
