Best billing software for small business in India: a buyer's guide

There is no single best billing software for every shop. A kirana store, a garment showroom and a distributor need different things, and the right choice is the one that fits how you bill, buy and give credit. This guide sets out what to check and gives an honest shortlist.

Short answer

Pick billing software by four tests: it prints a correct tax invoice or bill of supply with HSN and CGST/SGST or IGST; it keeps stock in step with purchases and sales; it tracks customer and supplier credit; and its price fits your invoice volume. If your turnover has crossed ₹5 crore you also need e-invoicing. FundRaksha Book suits shops and wholesalers below that line: 300 invoices free, then ₹999 a year.

What to check before you choose

  1. GST correctness. The software should pick CGST plus SGST for a sale within your state and IGST for a registered buyer in another state, and print an HSN-wise tax summary. A composition dealer needs a bill of supply instead (see the bill of supply format).
  2. Speed at the counter. Barcode scanning, item search by name, line and bill discounts, and round-off. Every second at a queue matters.
  3. Stock from purchases. Entering the supplier bill should create the items and stock, so you do not keep two lists.
  4. Credit (udhaar). Credit sales, part-payments and a ledger for each customer and supplier.
  5. Staff access. Separate logins, with the owner deciding who can edit or delete a bill.
  6. Exports. Your data in Excel, CSV or PDF so your CA can file returns.
  7. Compliance you may grow into. E-invoicing above ₹5 crore, e-way bills for consignments above ₹50,000, GSTR reports.

A short, honest shortlist

VyaparDesktop + mobile plans from ₹4,399 a year (Silver); offline billing, e-invoice and e-way bill creation, POS billingShops that want offline billing or built-in e-way bills
myBillBookPC, web, Android and iOS; e-invoicing and e-way billing, batch and expiry management, WhatsApp and SMS remindersBusinesses that want reminders and expiry tracking in one app

Each of these is a sound product for the right business. The ones with e-invoicing and e-way bills are stronger once you cross ₹5 crore turnover or ship large consignments often.

Where FundRaksha Book fits

Book is built for the counter. You scan a barcode or type a name and the item lands on the bill. When you enter a purchase, you give the cost and your profit %, and Book works out the selling price; every purchase batch gets its own barcode, and you print labels on A4 sticker sheets or a thermal label roll. Credit sales, part-payments and party ledgers sit in the same app, along with expenses and a profit report.

It works in the browser on any laptop, tablet or phone, and as an Android app. Book does not create e-invoices (IRN) or e-way bills, and it does not prepare GSTR return files: export your sales and give them to your CA.

FundRaksha Book is free for the first 300 invoices, with every feature switched on and no card needed. Sales and purchase invoices both count. After that, Pro is ₹999 a year for unlimited invoices, paid by UPI, card or net banking; the site says prices include applicable taxes as charged at checkout. See book.fundraksha.com.

Worked example: choosing for a two-counter shop

A general store in Nagpur bills about 40 customers a day, buys from 12 suppliers and has turnover of ₹1.2 crore. It sells only within Maharashtra and has no B2B customers needing e-invoices.

  • E-invoicing: not needed, turnover is well under ₹5 crore.
  • Invoices a year: about 40 × 300 working days = 12,000 sales bills, plus purchase bills. A free tier will run out in the first fortnight, so compare yearly prices.
  • Must-haves: barcode billing, two staff logins, a credit ledger for about 60 regular customers.

On these needs Book costs ₹999 a year after the first 300 invoices. If the same store started shipping goods above ₹50,000 to other states every week, built-in e-way bills would become a reason to look at Vyapar, myBillBook or Tally instead.
