Factory HR software must handle shift rosters, accept attendance from biometric machines or workers' phones, apply late and half-day rules, recover advances, and produce PF ECR and ESI files. FundRaksha HR Enterprise (₹99 per employee per month + GST) is aimed at multi-location teams and factories: it connects ZKTeco and eSSL biometric devices and includes everything in Pro, such as shift roster, advances, PF, ESI, PT and TDS.
Factory attendance: biometric, phone or both
Many factory workers do not carry smartphones on the shop floor, and some factories do not allow phones inside. A biometric machine at the gate suits them. Supervisors, maintenance staff, drivers and office staff often work better with phone check-in.
| Group | Suggested method |
|---|---|
| Line workers | Biometric device at the gate (Enterprise) |
| Supervisors and office | Phone GPS check-in inside the factory radius |
| Drivers and purchase staff | Field mode on phone |
| Contract workers | Same device or phone, under your rules |
See biometric vs mobile attendance for a full comparison.
What else factories need
- Shift roster. Morning, evening and night shifts, often rotating weekly.
- Rules. Grace period, late marks and half days per shift.
- Advances. Common in factories; recovered in instalments.
- Statutory payroll. PF and ESI for most workers, professional tax by state, and the monthly ECR and ESI files.
- Overtime. Under the OSH Code, 2020 (which absorbed the Factories Act), overtime is paid at twice the ordinary rate of wages. FundRaksha HR's website does not list a separate overtime module, so confirm during the trial how you will record overtime hours, for example as a salary input.
Worked example: a 120-worker auto parts unit
An auto parts unit in Pimpri-Chinchwad runs two shifts with 110 line workers and 10 staff. Workers punch on two eSSL machines at the gate; staff use phone check-in. The roster rotates line workers between shifts weekly.
Punches from the machines and phone check-ins land in the same attendance calendar. Late marks are applied by shift. Twenty workers have running advances, each deducted in its own instalments. At month end, payroll calculates PF on PF wages and ESI for workers within the ₹21,000 limit, and HR downloads the PF ECR, ESI, PT, bank and Tally files.
On Enterprise, 120 × ₹99 = ₹11,880 a month + GST. For larger or multi-company groups, the pricing page asks you to contact FundRaksha for pricing.
Statutory files a factory files every month
| File | Purpose | In FundRaksha HR |
|---|---|---|
| PF ECR | Upload on the EPFO employer portal for each worker's PF | Pro and Enterprise |
| ESI contribution file | Upload on the ESIC portal for covered workers | Pro and Enterprise |
| Professional tax | State return, where PT applies | Pro and Enterprise |
| Bank transfer CSV | Pay all wages in one upload | Pro and Enterprise |
| Tally XML | Payroll entry for the accountant | Pro and Enterprise |
Factories with many low-wage workers usually have most of them within the ESI limit, so the ESI file matters as much as the PF one. Late or wrong contributions attract interest and damages, so test both files on the portals during the trial.
Factory set-up checklist
- List shifts with start, end and grace period.
- Decide who uses biometric and who uses phone.
- Import workers from Excel with PF and ESI details.
- Set week-offs per roster and the holiday list.
- Load open advances with remaining instalments.
- Run one month in parallel with your current payroll and compare.
Enterprise adds admin roles (owner, HR, payroll), priority support and guided onboarding with data import help.
Every plan has a 30-day free trial with your real team, and there is no bill for the trial period. After that, you pay only for active employees in the month. See pricing.
Check statutory numbers with the PF calculator, ESI calculator and gratuity calculator.
