Billing software for a mobile phone shop

A mobile shop sells a few high-value phones and hundreds of small accessories, often with finance offers and exchanges. Billing software must record each phone carefully and bill accessories quickly.

Short answer

Phones, chargers, power banks and earphones are all 18% GST. A mobile shop's billing software should record the IMEI of each handset on the invoice, bill accessories by barcode, and track dealer credit. FundRaksha Book handles the GST invoice, accessory barcodes and supplier credit well, but it has no IMEI or serial-number field, so you would note the IMEI on the bill another way.

GST on mobile shop items

Almost everything in the shop is 18%, which makes billing simpler, but phone prices are usually quoted inclusive of GST. A phone at ₹17,700 including GST has a taxable value of ₹15,000 and GST of ₹2,700.

What a mobile shop needs

  • IMEI on the invoice. Customers need it for warranty and insurance; you need it to match returns and service claims.
  • Accessory speed. Covers, glass guards and cables are low value and high volume. Scan and bill.
  • Distributor credit. Phones are bought from distributors on short credit; you need to know what you owe each one.
  • Margin view. Phone margins are thin, accessory margins are higher. A profit report tells you which side is paying the rent.

How FundRaksha Book handles it, and the IMEI gap

Book is good at the accessory side. Enter the distributor's bill, set the profit % (Book works out the selling price), print barcode labels for each batch and bill by scanning with a USB scanner or the phone camera. The profit report shows sales minus the cost of items sold minus expenses, for any date range.

For phones, the honest position is that Book has no IMEI or serial-number field. The invoice can show the batch or barcode number per item, but that identifies your purchase batch, not the handset. Shops that sell many phones usually want software that stores IMEIs against stock. If you sell a handful of phones a week, one workaround is to set each handset up as its own item named with its model and IMEI.

Book does not record finance schemes or exchange values separately; enter an exchange as a bill discount and keep your own note. Book does not create e-invoices (IRN) or e-way bills, and it does not prepare GSTR return files: export your sales and give them to your CA.

FundRaksha Book is free for the first 300 invoices, with every feature switched on and no card needed. Sales and purchase invoices both count. After that, Pro is ₹999 a year for unlimited invoices, paid by UPI, card or net banking; the site says prices include applicable taxes as charged at checkout. See book.fundraksha.com.

What to check when choosing

  • Can it store an IMEI or serial number against each handset, and print it on the bill?
  • Can it bill accessories fast by barcode, and print labels for items that arrive without one?
  • Does it handle GST-inclusive prices cleanly, since phones are sold on MRP?
  • Does it keep distributor ledgers, so you know what you owe each one before the next stock comes?
  • Can staff bill without being able to edit old bills or see your margins?

Book meets the last four. For the first, a shop selling many handsets should look for software with IMEI tracking.

Worked example: a phone with accessories

A shop in Vijayawada sells a phone at ₹17,700 (GST inclusive), a cover at ₹354 and a tempered glass at ₹236, both inclusive.

  1. Taxable values: ₹15,000 + ₹300 + ₹200 = ₹15,500.
  2. GST at 18%: ₹2,790 (CGST ₹1,395 + SGST ₹1,395).
  3. Bill total: ₹18,290.

Because Book prices exclusive of GST under the regular scheme, enter the taxable price (₹15,000) as the selling price, or set the profit % so the selling price comes out at that figure.
