Payment reminder WhatsApp message format

For many Indian businesses, the customer reads WhatsApp before email. A short, polite message with the invoice number, amount and a payment link often gets paid the same day. Here are five messages for each stage.

Short answer

A payment reminder WhatsApp message is a short message to a customer asking them to pay a due or overdue invoice. It should name the invoice and amount, give the due date, include a UPI ID or payment link, and ask for a reply or UTR, while staying polite and professional because the chat may be read later as evidence.

Five WhatsApp reminder templates

WhatsApp payment reminders (5 stages)
1) BEFORE DUE DATE (2-3 days before)
Hello [NAME] ji, a gentle reminder that invoice [INVOICE NO.] for Rs [AMOUNT] is due on [DUE DATE]. Invoice attached. UPI: [UPI ID] / Bank: [A/C NO.], [IFSC]. Thank you, [YOUR NAME], [BUSINESS NAME]

2) ON THE DUE DATE
Good morning [NAME] ji. Invoice [INVOICE NO.] for Rs [AMOUNT] is due today. Please share the UTR once paid so we can update your account. Payment link: [PAYMENT LINK]. Thanks, [BUSINESS NAME]

3) 7 DAYS OVERDUE
Hello [NAME] ji, invoice [INVOICE NO.] for Rs [AMOUNT] is now 7 days overdue. Please let us know the payment date. If there is any issue with the bill or supply, do tell us so we can resolve it. [YOUR NAME], [BUSINESS NAME]

4) HINGLISH, FIRM (15-20 DAYS OVERDUE)
Namaste [NAME] ji. Bill no. [INVOICE NO.] ka Rs [AMOUNT] payment [DUE DATE] se pending hai. Kripya [DATE] tak payment kar dein aur UTR bhej dein. Koi problem ho toh aaj hi batayein. Dhanyavaad, [BUSINESS NAME]

5) FINAL REMINDER (30+ DAYS OVERDUE)
Dear [NAME] ji, despite our reminders on [DATE] and [DATE], Rs [TOTAL] against invoices [INVOICE NOS.] remains unpaid. Please clear it by [DATE]. After that, we will have to send the matter to our advocate for formal action, which we would prefer to avoid. Regards, [YOUR NAME], [BUSINESS NAME]

How to fill it

  1. Use the name the customer uses with you, with "ji" or "sir" as is normal in your trade.
  2. Attach the invoice PDF to message 1 or 2. If you bill on FundRaksha Book, you can share the invoice directly; the first 300 invoices are free.
  3. Add a UPI ID or payment link. Every extra step for the customer delays payment.
  4. For message 5, list all overdue invoices and the total, and send it to the owner or director, not only the accounts clerk.
  5. Pin the chat and save screenshots or an exported copy after each stage.

Common mistakes

  • Voice notes in place of text. They are hard to search and harder to prove.
  • Messaging many times a day, or threatening language. Harassing messages can lead to complaints against you and spoil a strong claim.
  • Sharing the customer's dues in a group chat or with other businesses, which risks defamation.
  • Agreeing new payment dates on a call and not confirming them in the chat. Always reply "As discussed, payment of Rs [X] by [DATE]."
  • Relying on WhatsApp alone for large amounts. Back it with an email or letter.

What happens next

If the customer replies with a date, confirm it in writing and remind them a day before. If they admit the amount ("haan, payment karenge"), that admission is useful evidence, and you can follow up with an acknowledgement of debt for them to sign. If they read the messages and stay silent, send the outstanding payment email final notice and then a legal notice; if the customer has blocked you, see buyer blocked my number.

FundRaksha Collect sends these reminders automatically on WhatsApp and email from your business identity, and charges 1% only on what is paid.
