Payment Receipt Format

A payment receipt confirms that you received money from a customer: how much, when, how, and against which invoices. The wording matters more than most businesses think, especially for part payments, where a careless 'full and final' can cost you the balance.

Short answer

A payment receipt format is a document issued by the payee confirming receipt of a payment. It should state the receipt number and date, the payer's name, the amount in figures and words, the mode and reference (UTR, cheque number), the invoices it is applied to, the balance still outstanding, and the payee's signature. For advances received for services, GST law requires a receipt voucher under Rule 50 of the CGST Rules with tax details.

Payment receipt format (against invoices)

Use this for payments received against invoices already issued. It works for full payment and part payment; delete the line that does not apply.

Receipt voucher for advances (Rule 50)

When you receive an advance for services before the invoice, GST is payable on the advance and Rule 50 requires a receipt voucher. For goods, GST on advances is not payable on receipt under Notification 66/2017-Central Tax, though a simple receipt is still good practice. When the supply is made, the tax invoice adjusts the advance; if the supply is cancelled, a refund voucher under Rule 51 is issued.

How to fill it

  1. Issue the receipt only after the money is in your account; for cheques, write 'subject to realisation'.
  2. Record the UTR or cheque number so the receipt can be matched to the bank statement.
  3. List the invoices the payment is applied to. If the customer specifies invoices, you must apply it as they say (Section 59, Indian Contract Act); if not, you may choose (Section 60).
  4. Book TDS separately, so the customer's ledger and yours agree.
  5. For a part payment, state the balance and the due date in the receipt itself.

Common mistakes

  • 'Received in full and final settlement' on a part payment. That phrase can be read as a waiver of the balance. If the customer's cheque or covering letter says it, reply in writing that you accept it only as part payment. See the full and final settlement letter format for when you really do settle.
  • Issuing a receipt for a cheque before it clears, with no 'subject to realisation' line.
  • Not stating which invoices are paid, so later the customer claims the oldest invoices (the ones close to limitation) are settled.
  • Not issuing a Rule 50 receipt voucher for advances against services.

Receipts, part payments and recovery

Under Section 19 of the Limitation Act, a payment on account of a debt made before limitation expires gives a fresh limitation period from the date of payment, but only if the payment is acknowledged in the handwriting of, or in a writing signed by, the person making it. Your receipt is signed by you, not the customer, so on its own it does not satisfy Section 19. Courts have accepted the customer's covering letter, payment advice or signed ledger as the acknowledgement; keep them with the receipt. To be safe, follow up a part payment with a balance confirmation.

If a customer paid part and then went quiet, read partial payment then stopped. FundRaksha Collect can chase the balance with automated reminders for a 1% success fee, and FundRaksha Legal takes over if a notice is needed.
