Payment Reminders That Get Paid: A 4-Stage Escalation Plan With Ready-to-Use Templates

Chasing payments is uncomfortable. Many business owners either avoid it until the invoice is badly overdue, or send one angry message that sours the relationship. Neither gets you paid.

What works is a predictable, polite, escalating sequence. Buyers learn that your invoices are tracked, and your accounts team never has to improvise. Here is a four-stage plan, with templates you can copy.

Before the invoice is even due

Good collections start at the invoice:

  • State the due date, not just the credit period.
  • Include your bank details and UPI ID on every invoice.
  • Name a contact person on the buyer's side who approves payments.
  • If you are a registered micro or small enterprise, mention your Udyam number and that payment is due within the MSMED Act timeline.

Stage 1: Friendly heads-up (3 to 5 days before the due date)

The goal is to make paying easy and to surface problems early, such as a missing GRN or a wrong PO number.

Hi [Name], a quick reminder that invoice [No.] for ₹[Amount] is due on [Date]. Sharing the invoice here for your reference. UPI: [ID]. Please let me know if anything is needed from our side. Thank you!

Stage 2: Due-date reminder (on the due date)

Keep it short and factual. Attach the invoice again.

Subject: Invoice [No.] due today: ₹[Amount]

Dear [Name],

This is a reminder that invoice [No.] dated [Date] for ₹[Amount] is due for payment today. The invoice is attached, and our bank details are below.

If the payment has already been made, please share the UTR so we can reconcile it. If there is any query on the invoice, do let us know today so we can resolve it quickly.

Stage 3: Firm follow-up (7 to 15 days overdue)

Now it is time to ask for a commitment date, not just payment. People keep promises they make in writing.

Subject: Overdue: invoice [No.], [X] days past due

Dear [Name],

Invoice [No.] for ₹[Amount] was due on [Date] and is now [X] days overdue. We have not received any query on this invoice.

Could you please confirm the date by which the payment will be released? If there is a part-payment plan you would like to propose, we are open to discussing it.

Please note that as a registered micro/small enterprise (Udyam No. [No.]), payments delayed beyond the agreed period attract interest under Section 16 of the MSMED Act.

Follow this with a phone call to the approver. A two-minute call often moves an invoice that three emails did not.

Stage 4: Final notice before legal action (30+ days overdue)

This is the last message from you before the matter becomes formal. It should be calm, specific and time-bound.

Dear [Name],

Despite our reminders dated [dates], invoice [No.] for ₹[Amount], due on [Date], remains unpaid.

We request payment in full within 7 days of this email. If we do not receive payment or a written payment plan by [Date], we will proceed with a formal legal notice and the remedies available to us, including a filing under the MSMED Act.

We would much prefer to resolve this directly and continue our business relationship.

Only send this if you are prepared to follow through. A final notice that is never acted on teaches the buyer that your deadlines are optional.

Rules that make the sequence work

  1. Consistency beats intensity. The same polite sequence, every time, for every buyer.
  2. One channel is not enough. Pair WhatsApp with email, and use calls for approvers.
  3. Log everything. Dates of reminders, promises and replies become evidence if you ever need a legal notice or an MSME Samadhaan filing.
  4. Separate disputes from delays. If a buyer raises a genuine issue, resolve it quickly and restart the clock on the undisputed amount.
  5. Stop supplying past a limit. Decide in advance how far overdue a buyer can be before new orders need advance payment.
